Governance

IPX Charter

Our governance, membership guidelines and shared expectations.

Purpose

The purpose of IPX is to give executives with international payroll responsibility a small, but trusted, community of peers to share with, and learn from. The focus is on quality of connections and interactions, rather than quantity.

Scope

The scope of IPX is best practice sharing, case study discussions, co-innovation and analysis of current and future trends in the payroll space.

Objectives

  • Two in-person events per year where the community can interact face to face. The emphasis will be on creating an informal atmosphere where information flows most freely. The format includes informal discussion, prepared presentations by members, sessions by invited guests, and social events like meals.
  • Additional high quality virtual events throughout the year.
  • A distribution list that can be used for communications at any time. The main aim of this channel is a place where members may pose questions and assist each other.

Membership

The members are executive level decision makers with some responsibility for international payroll. These members come from the HR, Finance, IT, Shared Services, GBS or similar departments of their respective organisations.

IPX was founded with six members and has grown over time. Membership is kept intentionally small — around ten executives — to preserve the trust and intimacy that make the community work. New members may only be added by unanimous vote of the existing membership.

Expectations from Members

Members are expected to:

  • Be kind, respectful, curious, and helpful.
  • Be active participants in at least one in-person and one virtual event, and active on the email list. If a member is no longer able to be active they should resign their membership.
  • Keep potentially business sensitive information shared by other members confidential.
  • Share in the leadership responsibilities of the community.
  • Be fluent in English.

Roles

The community will be small and informal, with little formal leadership. There will, however, be roles that rotate between members from time to time:

  • Steward: Get input from members, set the agenda for the next event, and take leadership in the event organisation.
  • Facilitator(s): Assist with coordination and communication.

Fees

  • IPX is not for profit. There are no annual membership fees.
  • Members contribute by hosting events at their company's offices — this is the primary way of giving back to the community.
  • Should exceptional costs arise, any ad-hoc fees would be put to a vote by the membership.
